There may be laws governing the handling and destruction of certain documents you process. The level of security required will depend on the law or policy in place for your documents/information. Document security can be broken down into five different levels:
- Highest - the individual with custody of (and responsibility for) the information personally destroys the documents. This requires that an on-site shredder be available for use.
- Second - an authorized employee monitors others directly shredding the documents. Again, this requires on-site shredding to be available.
- Third - using locked containers for document placement, which are then transported off-site for shredding/destruction.
- Fourth - using open containers placed in a secure area (like a locked office) and then transported off-site for shredding.
- Fifth - using open container in a central area that are collected for recycling, but not shredded. This is better than simple disposal in waste containers because the documents are combined with thousands of others from other departments when collected by our crew…and do not linger in a dumpster for someone to peruse.
Contact University Archives before you start to shred materials. There may be guidelines that require certain records be retained.
